What your plan allows

On Starter, the Owner — that is, you — is the only profile available: your record was created when you signed up, together with a PIN. Adding a manager, a cashier, a chef or a bartender takes the Pro plan, at €9.90 a month. If you have never had it, you can try it free for 7 days from Upgrade to Pro, at the top of the screen.

1Choose your own code

In Team › Staff, your record is marked You. Its code was assigned when you signed up: choose your own in My profile, from your account menu at the top right, in the Till PIN field.

2Create a staff record

Still in Team › Staff, click + New staff member. Enter their First name and Last name, then choose their Role: the role decides what this person can open, and the form sums it up just below. To help them spot themselves on the till, click the circle on the left to add their photo, and pick a Colour.

3Give them their PIN

Type four digits into PIN (4 digits). This is the code the person types on the till to open their session. Each code is unique within your business: if it is already taken, the form tells you. The eye shows the code, the cross clears it.

The Day rate is used to work out pay: leave it empty if this person is not paid by the day. The Handles the till switch decides whether they appear on the till's staff-selection screen.

4Save

Click Save. While something is missing, the button stays greyed out and the reason shows in red — for example Choose a role. If the role opens the back office, the form also asks for an Email address and a Password: these are the details this person signs in with.

5Set what each role allows

Open Team › Roles; the screen is called Permissions. Six roles come ready-made: Owner, Manager, Administrator, Cashier, Chef and Bartender. The Administrator is your office staff — catalogue, payroll, purchases, paperwork: they sign in with a password and never open the till, the kitchen or the bar. Click a role: four switches open its doors — Till, Kitchen, Bar and Back office — and the boxes below say what it may do there. A change applies to everyone who has that role. A job is missing? Click + New role.

Important — The Owner's role keeps every permission and cannot be edited.

When someone leaves

Staff are never deleted: they are archived. Click Archive at the end of their row and confirm. They can no longer open the till or the back office, and their sales, hours and pay stay in the reports. They come back in one click from the Archive tab, with Reactivate.
